Transport Administrator is the ultimate logistics multitasker, responsible for coordinating the smooth movement of goods using approved third-party hauliers (aka the people who make sure things actually get from A to B). This role ensures transport bookings, cost control, and service levels are on point—while keeping everything fully compliant with contractual and legal requirements. In short: if it moves, you’ve probably organised it.
Key Responsibilities (a.k.a. What You’ll Actually Be Doing)
- Orchestrate daily transport operations with approved haulage providers—think conductor, but for trucks
- Secure those golden port vehicle booking slots (VBS) like they’re concert tickets
- Book collections and deliveries efficiently, balancing service levels, costs, and reality
- Ensure enough haulage capacity is lined up (because teleportation isn’t an option… yet)
- Build and maintain strong relationships with clients and hauliers—your phone will have favourites
- Monitor SLA & KPI performance (yes, spreadsheets will be your friend… eventually)
- Chase late deliveries like a polite but persistent detective
- Manage transport documentation (PODs, manifests, delivery notes—paperwork, but important paperwork)
- Verify and reconcile haulier invoices—spot the difference, save the budget
- Maintain rate cards, contracts, and contact lists (your organised brain will love this)
- Support cost tracking, reporting, and analysis—because numbers tell stories too
- Handle exceptions (delays, damages, claims… the plot twists of logistics)
- Collaborate with internal teams to keep operations running smoother than a freshly paved motorway
- Keep records audit-ready (because someone, somewhere, will check)
- Update ERP systems & databases accurately and on time
Skills & Experience
- Experience in transport, logistics, or supply chain administration
- Confident dealing with third-party suppliers/hauliers
- Strong organisation, coordination, and multitasking skills
- High attention to detail (you notice the extra zero before anyone else does)
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Strong communication & relationship management skills
- Ability to juggle multiple priorities in a fast-paced logistics environment
Desirable:
- Knowledge of UK transport & logistics operations
- Experience with ERP systems and Vehicle Booking Systems (VBS)
- Familiarity with Destin8
- Understanding of haulage rates, SLAs, and contracts
- Experience with invoice verification & cost control
